Privacy & Cookies
Simplex-IT B.V. (trading as Simplex) respects the privacy of people who visit our website, contact us or enquire about our services. This notice explains how we handle personal information associated with the Simplex website and initial business enquiries.
Last updated: 25 October 2026
Who is responsible for your information?
Simplex-IT B.V., registered in the Netherlands (KvK 63993015), is responsible for handling personal data collected through this website and business enquiries. You can contact us about privacy matters or your rights at info@simplex-it.nl.
Information we receive
When you submit an enquiry, our contact form requests your name and email address and allows you to provide a subject and message. If you contact us by email, we also receive the information you choose to send. Please do not include confidential source code, special-category personal data, customer datasets or other sensitive records in an initial enquiry.
Technical information may also be processed when you visit or use the site, such as an IP address, browser information and security or spam-detection signals. Some of this information is processed by our website hosting, security and anti-spam providers.
Why we use this information
- Responding to enquiries: to reply to messages, discuss a potential engagement and take steps you request before a contract. Depending on the situation, the legal basis is pre-contractual steps (GDPR Article 6(1)(b)) or our legitimate interest in responding to business enquiries (Article 6(1)(f)).
- Website security and preventing abuse: to keep the website and enquiry form reliable, identify misuse and reduce unwanted automated submissions (our legitimate interests, Article 6(1)(f)).
- Legal and business records: if an enquiry becomes a client relationship, further processing and retention may be necessary to perform a contract or meet legal obligations, explained in relevant engagement documentation.
Submitting an enquiry does not subscribe you to a marketing mailing list. If we introduce marketing subscriptions, we will explain their purposes and request a separate choice where required.
Contact forms, anti-spam and other service providers
Our website uses Contact Form 7 to handle contact requests. Form information is sent to our business email workflow and can be accessed by authorised Simplex personnel handling the enquiry.
The form also has Akismet (Automattic) spam filtering and Google reCAPTCHA configured to help distinguish genuine enquiries from automated abuse. These tools may process technical data and, when you submit a form, some of the information you provide. Google reCAPTCHA can communicate with Google services and use cookies for security purposes.
Service providers involved in website hosting, email delivery and security may process technical or enquiry data on our behalf. Access is limited to what is necessary for the relevant service. We do not sell contact-enquiry information to advertising companies.
International processing
Some external service providers operate internationally, so information processed through website security, anti-spam or email services may be handled outside the European Economic Area. Such processing is subject to the applicable data-protection requirements and transfer mechanisms. You can request more information about the providers and applicable arrangements through info@simplex-it.nl.
How long information is kept
We keep correspondence for as long as needed to respond to the enquiry and manage relevant follow-up, then review it for deletion when no longer necessary. If a business relationship begins, certain contractual or accounting records may need to be kept longer to meet legal obligations. Security and anti-spam records are kept according to the operational need and the relevant provider or hosting arrangements.
Cookies and similar technologies
Some cookies and browser technologies support core website functionality and protection against abuse. Google reCAPTCHA may set a security cookie such as _GRECAPTCHA and may involve other cookies from Google services depending on the browser and service configuration. Website administrators may also receive authentication cookies when they sign in.
Not all cookies require consent under Dutch law: strictly functional cookies and certain limited analytics cookies may be used without it, while non-essential tracking generally requires a prior choice. You can manage or delete cookies through your browser settings. When optional tracking or marketing technologies are introduced, we will provide appropriate information and consent choices where required.
Your data-protection rights
Depending on the circumstances, you have rights to access your personal data, correct inaccurate information, request deletion or restricted processing, object to certain uses and receive portable data where applicable. You may also withdraw consent where a processing activity relies on consent. To exercise a right, email info@simplex-it.nl. We will respond in accordance with GDPR requirements.
You can also raise a complaint with the Dutch supervisory authority, the Autoriteit Persoonsgegevens.

We review this notice when our website, contact process, service providers or data-handling practices materially change. The latest version will be available at this address.
